This is the document that turns a verbal promise into a legally enforceable specification.


Why Specification Sheets Matter

A typical Gurgaon interior contract reads: “Modular kitchen, full L-shape, mid-tier, with premium hardware and quality plywood. Rs 4.5 lakh.”

This contract is enforceable in name only. “Mid-tier”, “premium”, “quality” have no legal meaning. The contractor can deliver anything and claim it matches. You have no recourse.

A proper specification sheet reads: “Base cabinet carcass: 18 mm BWP plywood, IS 710, Century Sainik 710 or equivalent Greenply Greenpanel. Wall cabinet carcass: 18 mm BWR plywood, IS 303, Century Sainik or equivalent. Hinges: Hettich Sensys 8631i auto soft-close with 3D adjustment. Drawer slides: Hettich Quadro 4D 40 kg full-extension soft-close. Edge banding: 2 mm PUR on all visible edges, 1 mm PVC acceptable on hidden edges only…”

This is enforceable. A downgrade is provable. Warranty claims have a clear basis.

A7. Workmanship Standards

Warranty service: Contractor shall respond to warranty calls within 7 working days. Replacement parts shall be of same brand and grade as originally installed.

Warranty exclusions:

How to Customise This Template

Three sections need customisation for your specific project:

Brand selection

The template above lists Hettich and Blum, Greenlam laminate, etc. as defaults. Where your project budget targets specific other brands, replace accordingly:

  • For practical tier: replace Hettich with Ebco, Blum with Ebco, premium laminate with standard
  • For premium tier: replace standard Hettich with Hettich Premium, add Blum for select items
  • For luxury: replace mostly Hettich with mostly Blum, add Hafele Senso lighting

Layout-specific items

If your project does not include certain items (no tall pantry pullout, no built-in oven, no lift-up wall cabinets), strike those rows. Do not leave them in if they do not apply.

Warranty terms

The warranty periods in section A8 are reasonable defaults. Negotiate longer or shorter based on what your contractor offers. Get the agreed terms in writing in the contract.


Common Contractor Pushback (And How To Respond)

When you present this template, the contractor may push back. Common responses and how to handle them:

“This is too detailed for our standard contract”

A standard contract is what failed many homeowners. Insist on this level of detail. If the contractor refuses, it is a signal to find another contractor.

“We use equivalent brands depending on availability”

Acceptable in principle but the equivalence must be specified upfront. Add the phrase “or equivalent (with prior owner approval in writing)” to brand specifications. Without prior approval, substitution is breach.

“Some of these tests are not industry standard”

The water swell test on plywood, edge banding adhesion test, and dimensional checks are all reasonable inspections. They are not standard in the sense that most contractors do not invite them; they are standard in the sense that they are based on documented material properties.

“The warranty terms are too long”

Negotiate the parts that genuinely matter. 10 years on cabinet structure and 24 months on shutters are reasonable industry standards. Hardware warranties pass through from Hettich/Blum at 5 to 10 years and are not the contractor’s exposure beyond replacement labour.

“This will increase the cost”

A properly specified job costs 5 to 15 percent more than an undefined job. The contractor was previously hiding margins in spec downgrades. The increase is the cost of getting what you actually contracted for.


Frequently Asked Questions

Is this specification sheet legally enforceable?

Yes, when signed as an Annexure to the main contract by both parties. Indian contract law treats annexures as integral parts of the contract. Specification breaches are provable through inspection at delivery or handover, and damages are calculable based on the difference between specified and delivered material costs.

Can I use this template for all interior work or just modular kitchens?

The template covers kitchen, wardrobe, living room furniture, and false ceiling. For specialty work (custom metalwork, imported stone, smart home integration, swimming pool work), additional specifications are needed. For wet area work (bathroom modifications, balcony waterproofing), separate plumbing and waterproofing specifications apply.

What if my contractor wants to use a different brand than I specified?

Discuss equivalence. If the proposed alternative is genuinely equivalent in functional performance, accept with brand-specific written substitution noted as an addendum. If the alternative is a cheaper grade dressed as equivalent, refuse. Maintain the principle: substitutions require prior written approval.

How do I verify the contractor actually delivered what is specified?

The factory dispatch and material receiving inspection process (see Factory Dispatch and Material Receiving Checklist) is the verification step. Brand markings on boards, brand boxes for hardware, manufacturer invoices for major items provide the evidence.

Are these specifications appropriate for budget-tier kitchens?

Yes. Even practical tier kitchens benefit from clear specification. The specific brands change (Ebco hardware instead of Hettich, BWR plywood throughout instead of BWP for sink), but the structure of the specification remains the same. Specification is about clarity, not cost.

Should I include this in informal kitchen orders or only major contracts?

Include this for any interior work above Rs 1 lakh. Below that, simpler informal arrangements are common, but you still want a written scope. For work above Rs 5 lakh, this level of detail is essential.

How do I handle disputes over specification interpretation?

The first recourse is direct discussion with the contractor’s senior management. If unresolved, refer to the specification document, the BOQ, and the visual samples approved at the start of the project. As a final step, consumer court or civil dispute resolution; specification documents become primary evidence.

Do I need a lawyer to draft my interior contract?

For projects above Rs 15 lakh, having a lawyer review the contract and this Annexure adds Rs 5,000 to Rs 15,000 and significantly reduces dispute risk. For smaller projects, using a template like this one with careful customisation is usually sufficient. Some Gurgaon legal services offer interior contract review packages starting at Rs 5,000.
