Office Furniture BOQ Template for Indian Procurement Teams

An office furniture BOQ should let every bidder price the same item, quantity, dimension, substrate, finish, edge, frame, hardware, electrical provision, installation scope, warranty and drawing revision. A per-seat quote without those fields cannot be compared. Do not issue the sample dimensions as final project dimensions. Replace every zero quantity, confirm the drawing and remove items that are outside the procurement package.
The BOQ header that controls the whole tender
Before line items, state:
- client and project name;
- site address and floor;
- BOQ revision and issue date;
- drawing register revision;
- bidder question deadline;
- quote validity;
- currency and whether rates include GST;
- delivery and installation window;
- working-hour and lift constraints;
- owner of electrical, data, seating and civil work;
- defect, snag and acceptance process;
- list of approved deviations.
Government and institutional BOQs show why detailed item descriptions matter. An IUCAA office-interior BOQ, for example, names a 1,200 x 600 x 750 mm table, panel thickness, finish and hardware in one line. A 2026 Madhya Pradesh High Court clarification records a real ambiguity between item-title and body dimensions, then corrects the workstation sizes. The controlled workstation-dimension schedule should own desk, aisle, screen and cable-layout decisions. Price architecture: per seat is an output, not an input
The WoodAge fact ledger records third-party 2026 planning references of roughly ₹5,000 to ₹25,000 per workstation seat, with wider office furniture packages rising when cabins, conference, reception, storage, electrical integration and installation are included. That range is deliberately wide because it does not describe one controlled specification.
Build the comparable per-seat number this way:
installed package total / accepted seat count = comparable installed cost per seat
But retain the line items underneath. One bidder may include pedestal, screen, raceway and installation while another quotes the worktop and frame only.

Mock-up approval: the highest-value line in a repeat order
Approve one full-size production-intent workstation before releasing the full quantity. Record:
- Finished dimensions and wobble.
- Worktop and edge sample match.
- Frame finish, welds and levelling.
- Screen height, stability and bracket finish.
- Cable route, grommet and floor-box alignment.
- Pedestal movement, lock and keying.
- Chair and monitor fit.
- Cleanability and exposed fasteners.
- Packing label format.
- Approved deviations and signed photographs.
A colour chip alone cannot approve a workstation. The mock-up proves how geometry, materials, hardware and services work together.

Do not fill a missing line with zero unless the bidder confirms it is included. Mark “excluded” and price the gap separately.
Delivery, labelling and phased installation
An office package should state how each component is labelled by floor, zone, item and drawing code. Define who books the lift, protects the floor, clears packaging and provides secure storage.

Acceptance and snag closure
Inspect by sample and by count:
- verify every item code and quantity;
- measure a defined sample from each repeated type;
- compare finish and edge to the approved mock-up;
- test locks, drawers, levellers and moving hardware;
- inspect cable access and sharp edges;
- record damaged or missing parts by label;
- assign owner and closure date to each snag;
- issue an as-built BOQ and key register;
- retain spare panels, hardware and finish references where contracted.
Buyer Decision Checklist Before Commercial Evaluation
Check the bids in this order: administrative compliance, scope completeness, technical compliance, declared deviations, mock-up result, delivery method and then comparable installed total. Do not let a low headline total hide missing pedestals, screens, electrical raceways, transport, installation or tax. Reject silent substitutions; price approved alternates in a separate normalisation line.
Frequently Asked Questions About Office Furniture BOQs
What is an office furniture BOQ?
It is a controlled schedule of furniture items, quantities, dimensions, materials, finishes, hardware, services, installation and commercial fields. It lets multiple vendors price the same scope.
Is a per-seat office furniture quote enough?
No. Per-seat pricing is useful only after the seat includes the same worktop, frame, screen, pedestal, cable provision, installation, tax and warranty basis.
Should chairs be in the same BOQ?
They can be, but keep loose seating as separate named models with product evidence and warranty. Do not infer ergonomic certification from a generic description.
What unit should be used for workstations?
Use “seat” for a repeatable per-person module and also state the cluster arrangement. Use “number” for standalone desks, tables and storage. Use linear metre only when the approved elevation supports it.
Who owns power and data?
The BOQ must say who supplies raceways, modules, floor boxes, cables, termination and testing. Furniture cut-outs alone do not complete electrical or data work.
How many vendors should receive the RFQ?
Procurement policy decides the count. More bids do not help if every bidder receives a different drawing or can silently substitute materials. Control the scope first.
What should be approved before production?
Approve drawings, BOQ revision, finishes, material evidence, hardware, a full-size mock-up, quantity schedule, delivery plan and accepted deviations.
How should alternates be handled?
Require the bidder to name the alternate product, evidence, price effect and lead-time effect in a deviation register. “Equivalent” without a comparison is not an approval.
What warranty fields belong in the BOQ?
Separate product warranties from workmanship and installation responsibility. Name the start date, exclusions, service route, response process and availability of replacement parts.

The best BOQ is not the longest. It is the one that leaves no important commercial or production decision hidden in a salesperson’s memory.
